Voiding a Transaction
A void cancels a completed POS transaction. This is used when a transaction was entered in error โ wrong product, wrong amount, test entry, etc.
โ ๏ธ Voids are permanent. A voided transaction cannot be un-voided.
Who Can Void
You need the POS Void permission. This is typically restricted to supervisors or managers.
How to Void a Transaction
- Go to Point of Sale โ Daily Report
- Find the transaction in the Transactions tab
- Click the transaction reference to open the Session Summary
- Locate the transaction and click Void
- Enter a void reason (e.g. Keying error, Customer changed mind)
- Confirm
The transaction status changes to Voided and appears greyed out in reports.
What Happens When a Transaction is Voided
| Action | Effect |
|---|---|
| Session total | Decremented by the transaction amount |
| Transaction count | Decremented by 1 |
| Accounting | Not automatically reversed โ see below |
| Stock | Not automatically restored โ see below |
โ ๏ธ Evrykit marks the POS transaction as voided but does not automatically reverse the posted Sales Invoice or Customer Payment journal entries. These must be handled manually.
Handling the Accounting Reversal
After voiding a POS transaction, you need to reverse the associated accounting entries manually:
- Sales Invoice โ Go to Sales โ Invoices โ find the linked invoice โ create a Credit Memo
- Customer Payment โ The payment is already posted โ if a refund was given, record a new Customer Refund
Handling Stock
Stock was deducted when the sale was completed. To restore it:
- Go to Inventory โ Stock Adjustments โ New
- Select adjustment type Customer Return or Correction
- Add the voided items with the quantities to restore
